BUYING GUIDE

Your first order,
one decision at a time.

You do not need every detail ready. Start with your customer, a few products you like and your arrival date. Then work through samples and packaging.

R3 / GUIDE
01

Where will you sell it?

Loose retail, e-commerce packs and seasonal gift boxes need different packaging. Share the channel, destination market and target retail price range. Include photos and dimensions of any reference packaging.

02

Choose a shortlist

Save product references or send screenshots. Start with three to five directions and explain what you like: the shape, flavor idea or packaging. Catalog names help identify a design; confirm ingredients against the specific product documents.

03

Ask about ingredients and storage

Request the ingredient list, allergen information, net weight, shelf life and storage instructions for each item. Raise any requirements involving nuts, milk, soy or gluten-containing cereals before selecting samples.

04

Quote quantity and packaging together

Specify pieces, bags, boxes or cases. State net weight per pack, pieces per box and boxes per case. Custom packs also need dimensions, artwork, barcode and tray details. Minimum orders and pricing depend on the agreed format.

05

Keep a sample review record

Note the product reference, arrival date and sample version. Review appearance, size, sweetness, filling texture and pack condition separately. Photograph the whole product, cross-section and packaging when sending feedback.

06

Work back from the arrival date

Share the delivery city and requested arrival date, especially for a fixed event or holiday. Allow for sample approval, packaging approval, production and transport, and discuss transit and storage requirements together.

07

Check one final set of details

Confirm the sample version, quantity units, price, tax and freight basis, packaging artwork, address, payment and acceptance terms in writing. For export projects, also agree label language, importer details and required documents.

A FIRST MESSAGE YOU CAN ADAPT

Put the essentials in one message.

Hello, I am interested in [product reference/name] for [sales channel]. Expected quantity: [number + unit]. Delivery: [city/country] by [date]. Preferred packaging: [individual/retail box/gift box]. Please advise current specifications, sample arrangements, minimum order and pricing.

SMALL DETAILS THAT HELP

Still deciding?
Start with these questions.

01Can I ask before the quantity is fixed?

Share the purpose and a rough range, such as a trial launch, seasonal event or regular replenishment. Ask about the minimums for current packaging and custom packaging before settling the quantity.

02What is easy to miss in a quotation?

Quantity units, case packing, delivery location and custom printing. Ask for the specification, packaging, tax and freight basis to be stated clearly so you can compare quotations.

03Is an approved sample enough to place an order?

Confirm that the sample version matches the supply specification, then review ingredients, net weight, artwork and case details. Keep the final agreement in writing for production and repeat orders.
